Office Administrator – Tustin, CA

Stuart Dean is seeking an experienced Office Administrator for its Tustin office.  This position will be the first point of contact and communications for the Tustin office.  In addition, the Office Administrator will support the Tustin team with their administrative needs and will be responsible for functional areas of office support, timesheets and payroll, and Human Resource transactions such as processing new hires, terminations, changes in status, etc. Interested and qualified candidates should submit a cover letter and resume by email to: James Lynch at jlynch@stuartdean.com and Grace Ben-Ezra at gbenezra@stuartdean.com.

Responsibilities:

  • Handling and triage of incoming calls
  • Maintaining and delivering office services
  • New hire processing and orientation
  • Filing
  • Client interface as needed
  • Assist Operations with scheduling
  • Billing and assisting with AR’s
  • Tracking of budgetary elements, and assisting with the preparation of management, sales and office reports.
  • Working with sales staff on proposal preparation, vendor approval, insurance certificates
  • Interface with vendors
  • Back up Operations Assistant with Payroll when necessary
  • Train internally to become proficient on NAV for all aspects of Sales, Ops, Billing, Reporting Functions

 Requirements:

  • High school diploma
  • Minimum of 3 to 5 years of office/administrative support experience
  • Prior experience with basic office accounting processes, human resource processes and transactions, data entry, administrative support and report creation strongly preferred
  • Excellent verbal and written communication skills a must
  • Proficient in Microsoft Office including Word, Excel and Power Point
  • Construction background is helpful
  • Competent at reviewing, editing, and preparing letters, basic reports, basic billing/invoicing documentation
