Accounts Payable/Accounts Receivable Manager
Job Summary
Oversee and manage all aspects of the Accounts Payable and Accounts Receivable functions, ensuring efficient and accurate processing of transactions. Lead collection efforts to optimize cash flow while maintaining strong vendor relationships through timely payments of invoices and expenses. Maintain accurate financial records, reconciliation processes, and control reports to support financial integrity. Provide leadership and guidance to the Senior AR/AP Administrator, ensuring best practices and compliance with company policies.
Responsibilities
Accounts Payable:
- Ensures timely processing and payment of vendor invoices and employee expense reimbursements, maintaining accurate records and control reports in compliance with company policy.
- Review monthly vendor expenses and provide accrual estimates for outstanding invoices and bills.
- Track and determine the company’s daily cash position.
- Prepares weekly cash forecast for the CFO.
- Manages payment processing and fraud prevention functions in coordination with banks.
- Ensures compliance with AP policies and procedures across all office locations.
- Manage all aspects of the AP function, including vendor selection for weekly payments.
- Sets up wire transfers within the banking system.
- Review all A/P check runs for processing.
Accounts Receivable:
- Manages collection activities such as sending statements, follow-up inquiries, negotiating with past due accounts, and referring accounts to collection agencies.
- Works closely with all office managers/division managers to optimize collections and improve AR performance.
- Calculate and post monthly AR adjustments including bad debt reserves and quarterly write offs, ensuring reconciliation between the general ledger and AR records.
- Assures timely collection of funds due to the company.
- Manages cash application making sure all cash receipts are properly applied and unapplied receipts are resolved in a timely manner.
- Conducts credit checks on new customers, using the Dun and Bradstreet (D&B) system
- Execute collection and reporting activities within established deadlines.
- Monitor customer accounts for late payments, non-payments, and other irregularities, taking proactive action when needed.
- Prepare and distribute monthly AR reports including invoicing totals, aging summaries and adjustments.
- Works closely with the auditors each quarter to address AR-related inquiries and ensure compliance.
- Continuously assess and recommend improvements to AP and AR processes to enhance efficiency and accuracy.
- Support department initiatives by managing special projects as assigned.
- Recommend improvements to AR/AP processes.
Skills & Experience
- Requires a bachelor’s degree. Business Administration, Accounting or finance preferred.
- 5 years’ experience in AR/AP.
- Knowledge of accounting principles and practices, banking and the analysis and reporting of financial data.
- Experience in working with accounting software.
- Experience working with ERP system Acumatica preferred.
- Supervisory experience preferred.
- Excellent verbal and written communication skills.
- Strong skills in Excel.
- Proficient in other Microsoft Office programs including Word, Outlook and PowerPoint.
- Corporate Notary Officer preferred.
This is a hybrid position that requires someone in-office 4 days a week at our Long Island City, NY office.
Job Type: Full-time
Pay: Up to $80,000.00 per year
